Sacred Spirit Circle Overnight Retreat at Lake Ohau Quarters – Terms & Conditions
By booking a spot at the Sacred Spirit Circle Overnight Retreat, you agree to the following terms and conditions. Please read carefully before proceeding with your booking.
1. Booking & Payment

Deposit: A non-refundable deposit of $100 is required to secure your place at the retreat. This deposit will be deducted from the total retreat cost.

Remaining Balance: All payments must be made in full by April 20th, 2025. If payment is not received by this date, your booking may be canceled, and your deposit forfeited.

Payment Options: Payments can be made via bank transfer, PayPal, or credit card (additional processing fees may apply for certain payment methods).

Payment Plans: Payment plans are available upon request. All installment payments must be completed by April 20th, 2025.

Booking Confirmation: Your spot will be confirmed only after your deposit has been received. Spaces are limited, so we recommend securing your spot as early as possible.
2. Accommodation & Pricing
All accommodation at Lake Ohau Quarters is modern, comfortable, and includes fresh linens and towels. The following pricing options are available:

Lower Tier (Shared Room, Bunks): $555

Medium Tier (Shared Room, Bunks): $585

Higher Income Contribution (Shared Room, Bunks): $615

Private Room: $665 (2 private rooms available)

Room Allocation: Bunk rooms have 6 beds per room (3 rooms in total). If you have a preferred roommate(s), please let us know in advance, and we will do our best to accommodate your request.

Accommodation Changes: If the retreat does not sell enough tickets to fill the available accommodation, or if there are any unforeseen circumstances regarding the venue booking, we may need to make alternative arrangements. Should this happen, we will communicate any changes as soon as possible and ensure the new accommodation is of a similar standard.

Cash-Back Opportunity: If we sell 20 tickets, there may be a partial cash-back opportunity for participants. We encourage you to share this retreat with friends who would love to join the experience!
3. Cancellation & Refunds

Cancellation by Attendee: If you need to cancel your booking, please notify us in writing. Cancellations will be subject to the following conditions:
- Before April 1st, 2025: You will receive a refund of all payments made, excluding the non-refundable deposit.
- April 1st – April 20th, 2025: 50% of your total payments (excluding the deposit) will be refunded.
- After April 20th, 2025: No refunds will be issued.

Transfer of Booking: If you are unable to attend, you may transfer your spot to another person with our approval. Transfers must be arranged no later than May 9th, 2025.

Cancellation by Organizer: In the unlikely event that we must cancel the retreat, you will receive a full refund, including your deposit. We are not responsible for any travel-related costs you incur (e.g., flights or transport).

No Show: If you do not attend the retreat without prior notice, no refunds or transfers will be offered.
4. What’s Included in the Retreat Package
- 2 nights' accommodation at Lake Ohau Quarters.
- All workshops, yoga sessions with Kanea, and guided activities.
- Cacao circle and intention-setting practices.
- All meals except for Thursday night’s BYO dinner.
- Free time to relax, rest, and integrate the retreat experience.
5. What’s Not Included in the Package
- Travel costs to and from Lake Ohau Quarters.
- Thursday’s BYO dinner.
- Optional add-ons such as massage and Reiki sessions.
- Travel insurance (highly recommended).
6. Health & Safety

By attending the Sacred Spirit Circle Overnight Retreat, you confirm that you are physically able to participate in all activities. If you have any health conditions, injuries, or dietary restrictions, please let us know in advance so we can accommodate you wherever possible.

Optional add-ons, such as massages or Reiki, will be provided by external practitioners. All care will be taken to ensure high-quality services; however, participants engage with these offerings at their own discretion.

Travel Insurance: We strongly recommend that all participants purchase travel insurance that includes coverage for health, cancellations, and unforeseen circumstances.
7. Conduct & Community Guidelines
We are committed to creating a safe, respectful, and inclusive environment for all participants. You agree to:
- Treat all attendees, facilitators, and staff with kindness and respect.
- Participate in activities with an open mind and heart.
- Respect shared spaces and maintain a clean and peaceful environment.
If a participant behaves in a way that disrupts the retreat experience or negatively impacts others, we reserve the right to ask them to leave the retreat without refund.
8. Liability
By booking your place at the retreat, you agree to participate at your own risk. Sacred Spirit Circle and its facilitators are not liable for any injuries, illnesses, accidents, or losses that may occur during the retreat.
9. Force Majeure
In the event of unforeseen circumstances beyond our control (e.g., extreme weather, natural disasters, or government restrictions), we will do our best to reschedule the retreat or provide a refund. Please note that we are not responsible for any additional costs you may incur.
10. Agreement
By booking and paying the deposit, you confirm that you have read, understood, and agree to these terms and conditions.
11. How to Secure Your Spot
To confirm your place, please RSVP by January 17th, 2025. A non-refundable deposit of $100 is required to secure your booking, and the remaining balance must be paid in full by April 20th, 2025.
